Email Templates
Email templates are reusable emails you send to leads — welcome notes, showing confirmations, application requests, follow-ups, and more. Manage them at Marketing → Email Templates.
Create a template
- Go to Marketing → Email Templates and click Create.
- Give the template a name (for your reference) and a subject.
- Write the body. You can build it in the visual editor or as plain text.
- Optionally set a trigger status so the template is associated with a pipeline stage (for example, an "Applied" template).
- Toggle active to make it available when composing emails to leads.
- Save.
Merge variables
Templates support placeholders that are filled in with the lead's details when the email is sent:
{{applicant_name}}— the applicant's full name{{applicant_first_name}}— the applicant's first name{{property_address}}— the property address{{unit_number}}— the unit number{{status}}— the lead's current pipeline status{{company_name}}— your company name{{sender_name}}— your name (the logged-in user){{today}}— today's date
Tip
You can also insert an {{application_form_link}} placeholder. When the email is sent to a lead, it's replaced with a unique, ready-to-use application form link for that prospect.
AI assistance
The template editor includes an AI Assist panel that can generate a draft from a short prompt, refine the whole template, or rewrite just the subject or body. You can guide it with a tone (professional, friendly, urgent, casual) and length (short, medium, long).
Note
AI generation requires an AI provider to be configured for your organization (or an active free trial). See AI assistant. Generation is rate-limited to keep usage fair.
Sending a template to a lead
From a lead's detail page, choose Email, pick a template, and send. The merge variables fill in automatically and the send is logged on the lead's timeline. You can also write a one-off custom message and optionally save it as a new template at the same time.
Important
Lead emails are sent through the provider you've bound to Organization Marketing in Company Settings → Email. If no marketing provider is configured, the app blocks the send rather than routing it through your transactional sender. See Connect email.
