Ai Assistant

The Ask AI assistant lets you ask questions about your data in plain English — things like "How much rent is outstanding this month?" or "Summarize this report" — and get an instant answer drawn from your own organization's data.

Where to find it

Open Ask AI from the Overview section of the sidebar (it lives at /admin/ask-ai). You can type a question or pick one of the suggested prompts to get started.

What you can ask

  • Portfolio questions — occupancy, outstanding rent, upcoming lease expirations, delinquent tenants.
  • Report insights — open a report and use Ask AI about this report to summarize the exact numbers on screen.
  • How-to questions — quick guidance on using features.

Tip

When you ask about a report, the assistant uses the same numbers shown in that report, so the summary always matches what you're looking at.

How it stays accurate

The assistant only answers from your organization's data — it can't see other organizations. Answers reflect your current records (tenants, leases, invoices, payments and so on).

Usage limits

By default, AI features run on a shared platform allowance with a daily cap per organization. If you reach the cap, AI responses pause until the next day. If you're on a trial, you'll see a note about your trial usage.

Note

If you hit the daily limit often, contact us about increasing your allowance.

Bring your own AI key (optional)

If you'd rather run on your own AI account, open Apps Settings → Integrations and add an AI provider and API key (Anthropic, OpenAI or Gemini). With your own key in place, your AI usage runs on your account. You can also choose whether to expose AI features to your tenants in the resident portal and set a per-tenant daily limit.

Tips for better answers

  • Be specific about the time period ("this quarter", "in May").
  • Mention the entity you care about (a property, a tenant, a program).
  • For numbers you need to act on, open the matching report and ask the assistant about it directly.
