Leasing & Tenants
Lease Agreements
A lease agreement is the signed document that backs a lease. RentAxis can generate the agreement from a template, collect electronic signatures, and keep an immutable record once signed. You manage them under Lease Agreement at /admin/lease-agreements, which has two tabs: Templates and Signing Requests.
Templates
A template is a reusable document (lease, addendum, renewal, application and more) with {{placeholder}} tokens that get filled in with the lease, tenant and property details. Click New Template to create one. When you start a signing request, you pick a template and it's rendered into a concrete document for signing.
Create and send for signature
- On the Signing Requests tab, choose Send for Signature.
- Pick the template to use.
- Add the signers — typically the tenant and a landlord/representative. Each signer has a role, name, email and signing order, and you choose sequential (one at a time) or parallel (everyone at once).
- Send. Signers receive a secure link to review and sign.
You can track each signer's status — Pending, Sent, Viewed, Signed, Declined or Expired — and the request's overall status (Draft, Sent, In Progress, Completed, Declined, Expired, Voided).
Correcting vs. revising
How you change a request depends on whether anyone has signed yet:
- Edit (correct in place) — available only when no one has signed. You can fix the request directly; signing links are refreshed (old links stop working).
- Revise (supersede) — once someone has signed, the signed content is locked. Instead of editing, Revise voids the original and clones it into a fresh editable draft, then you send the new version.
Important
Signed content is immutable. After a signature exists, always use Revise — this voids the old document and creates a fresh draft, preserving a clean audit trail.
After signing
Once every signer has signed, the request is marked Completed and a signed PDF is produced. You can download it or email the signed copy to the parties, and it remains part of the permanent record.
