Create A Lease

A lease ties a tenant to a unit for a term at a set rent. Creating one is the foundation for rent collection, invoices, renewals and reporting.

Quick lease vs. full lease

  • Quick Lease Add — the fastest path: capture the essentials (unit, tenant, dates, rent) in one short form.
  • Full lease — the complete form with deposits, fees, lease type, recurring charges and documents.

Use Quick Lease Add to get a tenant in the system fast; you can fill in the rest later by editing the lease.

Create a lease

  1. Go to Leases → Add Lease (or Quick Lease Add).
  2. Choose the unit. Only available units are selectable.
  3. Choose or add the tenant. You can select an existing tenant or create a new one inline.
  4. Set the term — start date and end date (or month-to-month).
  5. Set the rent — the recurring rent amount and billing frequency.
  6. Add optional details: security deposit, lease type, emergency contact, and notes.
  7. For subsidized rent, turn on Section 8 and choose the program, then enter the tenant portion and Section 8 portion of the rent.
  8. Save (or Save as draft to activate later).

Tip

Setting the rent and frequency here is what drives automatic rent invoices and the Rent Roll report — get these right and most of your monthly billing takes care of itself.

Inviting the tenant to the portal

When creating a lease for a new tenant, you'll see a Send invitation email option (checked by default). Leave it checked to email the tenant an invite to the resident portal where they can view their lease, make payments, and submit maintenance requests. Uncheck it if you don't want to create a portal login (for example, when importing historical tenants). For an existing tenant who already has portal access, this is skipped automatically.

Note

If a tenant has no email yet, you can add one later from the tenant's page and send the invite then.

After creating

  • The lease appears in Leases with its status (Draft, Active, etc.). A draft you saved becomes active when you activate it from the lease page.
  • Rent invoices generate according to the schedule you set.
  • You can attach a lease agreement for e-signature.
