Mail Inbox

The Mail inbox at /admin/mail is a full email client built into RentAxis. Once you've connected an email account with inbox sync, your messages appear here so your team can read, reply and triage correspondence without leaving the app. Open it from Mail in the Overview section of the sidebar.

Note

Mail only shows mailboxes you're allowed to use. Which accounts you can send through is controlled by the Email settings (Settings → Apps Settings → Email → Access). If you don't see any mailbox, an admin hasn't connected one yet or hasn't granted you access.

Choosing a mailbox

If your organization has more than one connected account, pick which mailbox you're working in. Each mailbox shows whether inbox sync is on and when it last synced. If a Google-connected account's authorization has expired, Mail shows a reconnect required prompt — reconnect it from the Email settings.

Folders

The left rail filters messages into folders:

  • Inbox — all received mail.
  • Unread — messages you haven't opened.
  • Starred — messages you've flagged.
  • My Claims — threads you've claimed to handle.
  • Unclaimed — threads no one has picked up yet.
  • Sent — mail sent from this mailbox.
  • Drafts — composed but unsent messages.
  • Trash — deleted messages (which you can restore).

Reading and organizing

Open any message to read the full thread and its attachments. From there you can:

  • Star a message or an entire thread.
  • Mark it read.
  • Apply labels to categorize threads.
  • Add internal notes that your team sees but the sender does not.
  • Assign a thread to a teammate, claim it yourself, or assign to self so it's clear who's responding.
  • Delete to Trash (and restore if needed).

Tip

Use Claim / Unclaimed and assignments to run a shared inbox without two people replying to the same email.

Composing and replying

  • Click New Mail to compose a fresh message. Choose which connected mailbox it sends from.
  • Open a message to Reply or Forward it.
  • Save work in progress as a Draft and come back to it later.

Sending, replying, forwarding and deleting each respect your permissions, so some teammates may be able to read mail but not send.

AI help (optional)

If your organization has the AI assistant enabled, Mail can help you draft, rewrite, reply and suggest a subject line. These AI actions count against your organization's daily AI allowance. See the Ask AI assistant for how usage limits work.

Syncing

Mail pulls messages from your provider over IMAP on a schedule. You can also trigger a sync for a mailbox to fetch the latest immediately. New mail won't appear until a sync has run.
